How It Works

From Placement Request
to Published Rota

ClinPlacer connects Schools, Facilities, and Students to one shared source of truth. Here's exactly what happens at every step — and who's responsible for it.

Four stages, one continuous flow

Plan
Schools build the rotation plan and submit placement requests.
Review
Facilities check capacity and approve, adjust, or decline.
Place
Students begin their rotation with a live, conflict-free schedule.
Report
Attendance, hours, and compliance records stay current automatically.

Step by step, and who does what

Every step is tagged with who's responsible — School, Facility, Student, or the Platform itself.

1
School

Build the rotation plan

Using Rotation Studio, powered by MRP™, the School lays out the semester — which cohorts go where, and when.

2
School

Submit placement requests

Digital requests go out to each partner Facility, by department, cohort, and date — no emails or printed letters.

3
Facility

Review against live capacity

The Facility sees exactly how much room each department has before deciding, not after.

4
Facility

Approve, adjust, or decline

A response happens directly in the dashboard, with the reasoning attached to the record.

5
System

Conflicts are caught automatically

MRP™ checks every request against existing rotations, so double-bookings and overlaps get flagged before they happen — not discovered mid-semester.

6
Student

The rotation begins

Approved students see their placement, schedule, and facility details the moment it's confirmed.

7
Student

Attendance, hours, and logbooks are tracked

Daily attendance, clinical hours, and logbook entries build up a live, verifiable record as the rotation runs.

8
School

Everyone monitors from their own dashboard

Schools and Facilities each see the same underlying data, filtered to what matters for their role.

9
System

Reports are ready whenever you need them

Compliance, attendance, and utilization reports are generated from live data — not assembled under deadline pressure.

Different views, same data

No one is working from their own copy of the truth. Every role sees the same live record, shaped around what they need to act on.

School View

Rotation planning, placement requests, student progress, and reporting across every cohort and facility.

Facility View

Incoming requests, department capacity, active students, and approval history — for every partner school.

Student View

Placement assignment, rotation schedule, clinical hours progress, and logbook entries.

Every step above runs on MRP™

Master Rota Plan (MRP™) is the scheduling intelligence checking capacity and catching conflicts at every stage of this workflow — it's the reason overbooking and double-booking stop happening.

Common questions about the workflow

Does this work across multiple schools and facilities at once?
Yes. A Facility can receive requests from every partner School it works with, and MRP™ checks capacity across all of them together — not one school at a time.
How long does a placement request take to get approved?
That depends on the Facility's own review process — ClinPlacer removes the delay caused by emails and phone calls, but the approval decision itself is always the Facility's to make.
What happens if a facility hasn't onboarded to ClinPlacer yet?
Placement coordination works best when both sides are on the Platform. If a partner facility hasn't joined yet, we can help your team invite them as part of onboarding.
Can a student see this whole workflow, or just their own placement?
Students see their own placement, schedule, and progress — not the internal review or approval process between their School and the Facility.
Does this replace our accreditation or regulatory reporting process?
No. ClinPlacer generates the records and reports your institution needs to support that process — the accreditation decision itself always sits with your regulator.
