ClinPlacer is built for a sector where compliance isn't optional — nursing and medical training institutions, healthcare facilities, and professional councils all depend on accurate, verifiable placement records.

This page describes how the Platform is designed to support your Institution's own compliance obligations. It doesn't replace your Institution's responsibility to meet its own regulatory requirements — see our Terms of Service for how that responsibility is shared.

ClinPlacer processes personal data in line with the core principles of the Kenya Data Protection Act, 2019:

• Lawfulness & fairness — personal data is processed only for placement coordination and related administrative purposes
• Purpose limitation — data collected for placement coordination is not repurposed for unrelated uses
• Data minimization — we collect only what the Platform needs to function
• Accountability — our processing activities and sub-processors are documented in our Data Processing Agreement

Kenya's clinical training sector is overseen by multiple professional councils and regulatory bodies, each with its own placement and documentation standards — including the Nursing Council of Kenya (NCK), the Medical Practitioners and Dentists Council (MCK), the Pharmacy and Poisons Board (PPB), and others.

ClinPlacer's features — rotation tracking, accreditation-hour monitoring, and exportable reports — are designed with these standards in mind, so Institutions can produce the documentation their regulator expects.

To support inspection and accreditation reviews, the Platform maintains:

• A timestamped audit trail of placement and rotation changes, including who made each change
• Exportable reports covering student hours, rotation history, and placement status
• Role-based access so records reflect who was authorized to make each entry

Institutional and student data is stored and processed on the cloud infrastructure described in our Data Processing Agreement. Where data is processed outside Kenya, we apply safeguards consistent with the cross-border transfer requirements of the Kenya Data Protection Act, 2019.

We aim to be precise about what ClinPlacer has and has not been independently verified for.

If your Institution's own compliance review requires documentation from ClinPlacer, we can provide:

• A countersigned copy of our Data Processing Agreement
• A written summary of our security practices, drawn from our Security & Trust page
• Answers to a procurement or vendor-risk questionnaire, on request
